Privacy Policy

1. Who We Are

FileOracle is operated by OBXServicePro LLC, a North Carolina limited liability company ("we," "us," or "our"). We provide an AI-powered document intelligence service that lets businesses upload documents and ask questions about their content. 2. Information We Collect

We collect the following categories of information:

• Account information. When you register, we collect your email address and a hashed password. Authentication is handled by Supabase.
• Documents you upload. Files you upload (PDFs, images) are stored in Supabase Storage and processed to extract text for search and AI answering. We do not share your documents with other users or third parties, except as described in Section 4.
• Chat queries. Questions you ask and the AI-generated responses are stored so you can reference past conversations within your account.
• Billing information. Payment details are collected and stored solely by Stripe. We store only your Stripe customer ID and subscription status — never your card number.
• Usage data. We log API requests, error events, and basic usage metrics (document count, query count) to enforce plan limits and improve the service. We do not use third-party analytics trackers.

3. How We Use Your Information

• To provide the FileOracle service — document storage, text extraction, AI answering.
• To enforce plan limits and process subscription billing through Stripe.
• To send transactional emails (account confirmation, payment receipts). We do not send marketing email without your consent.
• To diagnose errors, improve reliability, and develop new features.
• To comply with legal obligations.

4. Third Parties We Use

We share data with the following sub-processors to operate the service. Each is bound by data processing agreements and their own privacy policies.

• Supabase — authentication, database, and file storage. Your documents and account data are stored in Supabase infrastructure.
• Anthropic — AI language model that generates answers to your questions. Relevant excerpts from your documents (not entire files) are sent to Anthropic's API to produce responses. Anthropic's API usage policy prohibits training on API data by default.
• OpenAI — embedding model used to index your documents for semantic search. Document text chunks are sent to OpenAI's API to generate vector embeddings.
• Stripe — payment processing and subscription management. Stripe stores your payment method and billing history.
• Railway / Vercel — application hosting infrastructure.

We do not sell your personal data or document contents to any third party.

5. Data Retention

We retain your account data and documents for as long as your account is active. If you delete a document, it is removed from storage and our database. If you cancel your subscription, your account and documents remain accessible until you request deletion. To delete your account and all associated data, email support@fileoracle.com. We will process deletion requests within 30 days.

6. Security

We use TLS encryption in transit and rely on Supabase's encryption at rest. Access to production systems is restricted to authorized personnel. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security. If you become aware of a security issue, please contact us immediately at support@fileoracle.com.

7. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Correct inaccurate information in your account.
• Request deletion of your account and all associated data.
• Export your chat history and document list on request.

8. Cookies

FileOracle uses only functional cookies required for authentication (session tokens set by Supabase). We do not use advertising or tracking cookies.

9. Children's Privacy

FileOracle is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has created an account, contact us and we will delete it promptly.

10. Changes to This Policy

We may update this policy from time to time. If we make material changes, we will notify you by email or by displaying a notice in the application before the change takes effect. Continued use of FileOracle after the effective date constitutes acceptance of the updated policy.
